Your History Does Not Have to Go to a Public Tool.
When owners hear what AI can do, the same idea comes up. Take years of quotes, drawings, orders and emails, hand all of it to AI, and let it make sense of it. It is an understandable instinct, because the history holds a lot of what the company knows.
The question to ask first is not what the AI can do with the files. It is where the files go. In a public tool, the text leaves your network and sits with a vendor under their terms. A paid business account changes some of those terms, including whether your information is used to train the model, but it does not bring the information back inside your company. Terms vary by vendor and plan, so someone needs to read them.
That does not mean the history has to sit unused. There are controlled places for it to live, and they fall into three groups.
First, a private account in a business platform, where the contract limits how the vendor can use and keep your data. For most companies under a hundred people this is the practical choice.
Second, a private cloud environment that your company controls. Third, a model that runs on a server you own. It gives the most control, and it carries the most cost: hardware, setup, security upkeep, and someone to run it. For a company of forty it is rarely the first choice.
Which one fits depends on what the information is, what you have promised your customers about it, and who would run it. That is a decision to make deliberately, not by default.
Even a controlled home does not solve the harder problem. Years of files are inconsistent, and an AI will inherit every inconsistency. Much of what keeps your company running was never in the files at all. It lives in the heads of two or three people.
So start with the knowledge, not the volume. Pick the few records that matter most, such as quotes, orders and drawings. Agree on what complete looks like for each. Capture what only one person knows going forward.
Then choose where it lives, and let AI work on something clean.
