You Have Worried About This for Years. AI Just Created a Much Larger Exposure.
Every owner I work with knows the risk of one person holding what nobody else knows. How a job gets quoted. How a particular machine gets set up. Which customer needs what and when. If that person does not come in tomorrow, it walks out with them.
Here is what has changed. That same knowledge is now being typed into public AI tools, a little at a time, by people trying to work faster.
And it is moving fastest in our corner of the economy. The Fed reported that year on year growth in work related AI use was strongest in manufacturing, around 58%.
That same shift is happening inside public AI platforms. A quote goes into one, and your pricing logic goes with it. A drawing goes in, and twenty years of an engineer's decisions go with it. A customer's email goes in, and the terms you negotiated go with it.
Once it is in, it may be stored, reviewed by a person, or used to train the model, depending on the account and settings. It can sit in a system you do not own, under terms nobody in the building has read, and the company gets nothing for it.
For years the problem was that the knowledge was stuck in one person's head. Now it is also walking out through a browser tab.
Both versions have the same cure. Get it documented somewhere you control. Store it where the right people can reach it, before someone on your team puts it into a platform you do not control.
Start by finding out what is actually going into public AI platforms. Ask your team to show you, not just tell you, how they use AI in a normal week. Which tools. Whether it is a personal account or a company account. What they paste into it. The goal is not to place blame. It is to see the whole picture, then give people an approved tool that does the same job without exposing company information.
Done well, the approved tool is also where you capture what only one person knows today.
